1. Who We Are and Scope
This Privacy Policy explains how Veterans for Veterans Media Group, LLC ("Company," "we," "us," or "our") collects, uses, discloses, retains, and protects personal information when you use Vets4VetsInfo.com, related websites, digital products, newsletters, webinars, forms, the Veteran Learning Center, the Veterans for Veterans Community, Prepare to Compete media experiences, and other online services that link to this Policy (collectively, the "Services").
This Policy applies only to the Company. It does not govern Veterans for Veterans, LLC or any other separate company, website, professional service provider, or third-party platform. If you follow a link, submit information, or request services from a separate organization, that organization's privacy policy governs its collection and use of information.
The Company is not the U.S. Department of Veterans Affairs ("VA"), is not a government agency, and does not operate VA.gov.
2. Information We Collect
Depending on how you use the Services, we may collect the following categories of information:
- Contact and identifying information, such as name, email address, telephone number, mailing address, and other information you provide through a form or account.
- Account and membership information, such as username, authentication information, profile information, communication preferences, membership status, and content-access history.
- Transaction information, such as product or membership purchased, amount, date, transaction status, limited billing details, and refund or cancellation records. Payment processors generally handle full payment-card information.
- Communications and user content, such as inquiries, customer-support communications, survey responses, testimonials, comments, community posts, messages, and files you choose to submit.
- Event, webinar, resource, and media information, such as registrations, attendance, downloads, podcast or video interactions, and marketing preferences.
- Veteran and benefit-interest information that you voluntarily provide, such as veteran status, branch of service, general benefit interests, VA disability-rating information, or health/disability-related information.
- Device and usage information, such as IP address, browser type, operating system, referring URL, pages viewed, click and session activity, dates and times, approximate location derived from IP address, cookie identifiers, and diagnostic or security logs.
Do not submit Social Security numbers, VA file numbers, full medical records, claim forms, banking credentials, payment-card numbers, or other highly sensitive records through a general website form or ordinary email.
3. How We Collect Information
- Directly from you when you complete a form, register, purchase, subscribe, join a community, download a resource, attend an event, communicate with us, or otherwise provide information.
- Automatically through cookies, analytics, logs, pixels, local storage, security tools, and similar technologies when you use the Services.
- From service providers and platforms that help us operate the Services, including website and learning platforms, customer relationship management systems, forms, booking, email and messaging, webinar and event platforms, payment processors, analytics providers, social media, video, and podcast platforms.
4. How We Use Information
- Provide, administer, personalize, secure, maintain, and improve the Services.
- Create and manage accounts, memberships, access rights, and digital-product delivery.
- Process transactions, renewals, cancellations, refunds, and related records.
- Respond to inquiries and route users to requested resources or clearly identified additional Veterans for Veterans services.
- Deliver newsletters, educational updates, podcast notices, community communications, event information, and marketing messages when permitted.
- Measure website, campaign, content, and funnel performance; understand engagement; and improve user experience.
- Prevent fraud, abuse, security incidents, and violations of our agreements.
- Comply with law, enforce our agreements, and protect the rights, safety, and property of the Company, users, and others.
- Carry out another purpose disclosed when information is collected or a purpose you authorize.
5. How We Disclose Information
We may disclose information in the following circumstances:
- To vendors and processors that provide website hosting, cloud storage, CRM, automation, forms, booking, email, SMS, payment processing, analytics, security, customer support, content delivery, webinar, podcast, video, and professional services.
- When you direct us to share information or request a product, resource, event, community feature, or handoff that requires disclosure.
- To comply with law, subpoena, court order, government request, or legal process; investigate fraud, abuse, or security; enforce agreements; or protect rights, safety, and property.
- In connection with a merger, financing, acquisition, bankruptcy, reorganization, or transfer of all or part of the business, subject to applicable privacy obligations.
- With your consent or as otherwise disclosed at collection.
We do not sell personal information or consumer health data for money. We do not authorize consumer health data to be used for targeted advertising. If these practices change, we will update this Policy and provide any notice, consent, or opt-out required by law.
6. Cookies, Analytics, and Online Tracking
We may use cookies, pixels, local storage, analytics, session-recording or heatmap tools, campaign parameters, and similar technologies to keep the Services functioning, remember preferences, understand use, improve performance, measure campaigns, attribute referrals, and protect against abuse.
Third parties may collect information about online activities over time and across websites or online services when their technologies are present. Browser or device controls may allow you to block or delete cookies, but doing so may affect functionality. We honor legally required opt-out preference signals when applicable and technically supported. We do not respond to every "Do Not Track" signal because there is no uniform standard for those signals.
7. Payments and Transactions
Payments may be processed by third-party payment processors or app stores. We generally receive transaction details, such as purchase amount, date, status, and limited billing information, rather than full payment-card numbers. Payment providers handle information under their own privacy policies and security obligations.
8. Email and Text Communications
Marketing email includes an unsubscribe method. We process opt-out requests as required by law. Service messages related to an account, transaction, membership, security issue, or legal notice may continue where appropriate.
If you separately consent to text messages, message and data rates may apply, message frequency may vary, and you may reply STOP to opt out or HELP for help. Consent to marketing texts is not a condition of purchase unless law permits otherwise.
9. Data Retention
We retain information for as long as reasonably necessary to provide Services, maintain accounts and access, complete transactions, comply with tax and legal obligations, resolve disputes, enforce agreements, prevent fraud, maintain security, and support legitimate business records. Retention periods vary by data type, purpose, legal requirement, and vendor capability.
When information is no longer reasonably needed, we take reasonable steps to delete, de-identify, or securely dispose of it. Backup copies may remain for a limited period and will be protected from ordinary use until removed through normal backup cycles, subject to legal requirements.
10. Security
We use reasonable administrative, technical, and physical safeguards appropriate to the nature and volume of information we handle. No internet transmission, platform, or storage system is completely secure, and we cannot guarantee absolute security. You are responsible for safeguarding account credentials and promptly notifying us of suspected unauthorized access.
11. Your Choices and Privacy Requests
You may request access, correction, deletion, or information about our handling of personal information by emailing [email protected] with the subject line "Privacy Request." We may verify your identity and may retain information where permitted or required by law.
You may update certain account information through available account controls, unsubscribe from marketing email, withdraw optional consent, or adjust browser and device settings. Some information is necessary to provide a requested Service; deletion or withdrawal may limit access to that Service. We will not unlawfully discriminate against you for exercising a privacy right.
12. Nevada Privacy Rights and Do-Not-Sell Requests
Nevada consumers may submit a verified request directing us not to make a "sale" of covered information, as defined by Nevada law, by emailing [email protected] with the subject line "Nevada Do Not Sell Request." We do not currently sell covered information. We generally respond within 60 days and may extend the response period by up to 30 days when reasonably necessary, as permitted by law.
Nevada consumers may also use the contact method above to ask about covered information collected through the Services and to request available review or correction.
13. Nevada Consumer Health Data Privacy Notice
This section applies to "consumer health data" governed by Nevada law. Consumer health data may include personally identifiable information that identifies or can reasonably be linked to a past, present, or future health status, such as a health condition, disability, diagnosis, symptom, treatment information, VA disability-rating information, or a benefit interest that reveals health status.
Categories and Sources. We may collect consumer health data that you voluntarily provide in a form, account, survey, event registration, community feature, message, or customer-support communication. We collect it directly from you and, only when you request or authorize it, from service providers or platforms used to deliver the Services.
Purposes and Processing. We use consumer health data only to provide a product, educational resource, communication, event, community function, response, or other Service you requested; route you to a requested resource; operate and secure the Services; manage consent and privacy requests; and comply with law. We do not use consumer health data to determine eligibility for employment, insurance, credit, housing, or government benefits.
Sharing and Third Parties. We may share consumer health data with processors that provide hosting, CRM, forms, booking, storage, communications, security, content delivery, or support when necessary to provide a requested Service. We may also share it when you direct us or when legally required. We do not sell consumer health data. We do not authorize third parties to collect consumer health data across unrelated websites or services for targeted advertising.
Consent. When Nevada law requires consent, we request affirmative, voluntary consent before collecting consumer health data. Consent to share consumer health data is separate from consent to collect it. You may withdraw consent by contacting us, subject to information necessary to complete a requested transaction or comply with law.
Requests and Appeals. Email [email protected] with the subject line "Nevada Health Data Request" to ask whether we collect, share, or sell your consumer health data; request a list of third parties with whom it was shared or sold; stop collection, sharing, or sale; correct data; or request deletion. We authenticate requests and generally respond within 45 days, subject to an extension permitted by law. Use the subject line "Nevada Health Data Appeal" to appeal a refusal. We process deletion and notify applicable processors or third parties as required by law.
Geofencing. We do not use geofencing around health-care facilities or similar locations to identify, track, or target people seeking health-care services or products.
14. Children
The Services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13. Certain accounts, purchases, memberships, or community features may be limited to users age 18 or older. Contact us if you believe a child provided information so we can take appropriate action.
15. Third-Party Services and Links
The Services may link to VA.gov, YouTube, podcast applications, social media, payment providers, booking tools, webinar platforms, community tools, and other third-party services. We do not control their independent data practices. Review each third party's privacy policy before providing information.
16. International Users
The Services are operated from the United States. If you access them from another country, information may be transferred to and processed in the United States and other locations where service providers operate, subject to applicable law.
17. Changes to This Policy
We may update this Policy to reflect changes in law, technology, vendors, or Services. We will post the updated version with a revised effective date and provide additional notice or obtain consent when required. Material changes to consumer health data practices will be handled in accordance with applicable consent requirements.
